Position Summary
Reporting to the Senior Director of Field Education, the Executive Secretary Level (5/6) provides clerical support, assists visitors and responds to communications and information requests, provide timely and accurate data input and reporting, assist with document development, organization, and maintenance, and coordinate activities, calendars, and events.
Essential Functions
- Implements and maintains efficient office systems and protocols.
- Provides clerical support to the Senior Director of Field Education and Field Education Department staff, ensuring the accuracy of information and assistance with problem-solving.
- Maintains up-to-date school/department calendars and checklists of important dates, meetings, and events.
- Assists in developing, organizing, and maintaining official forms, documents, correspondence, and communications.
- Provides logistical support for meetings, activities, lectures, social gatherings, and events, on-campus and virtual.
- Answers promptly and correctly routes inquiries, taking complete messages and contact information.
- Ensures follow-through on all received requests for assistance and tracks with documentation.
- Provides timely and accurate data input and reporting using database systems (Tevera, Blackboard, Google Drive, etc.).
- Assist students, staff, and faculty with access and use of data systems (Tevera).

Additional Functions
- Assists with copying, faxing, filing, and document preparation, such as handouts and other materials.
- Assists visitors and responds to information requests from internal and external stakeholders.
- Participates in department, GSS, and University meetings and events as required.
- Ensures confidentiality and security of confidential records/information.
Required Qualifications: Education and Experience
- High School diploma or GED equivalent required.
- Minimum 3 years of office experience.
Required Qualifications: Knowledge and Skills
- Ethical, sound judgment, detail-oriented, with strong organizational and time management skills.
- Strong communication skills.
- Ability to work independently and as part of a team in a complex work environment.
- Possess strong interpersonal skills with a customer-service orientation.
- Proficiency with software applications such as Microsoft Word, Excel, PowerPoint, Google spreadsheets, etc.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education
Preferred Qualifications
- Bachelor's Degree
- Prior experience in higher education/educational institutions.
