College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
This position manages and oversees the administrative support functions for two independent pediatric fellowship programs - Allergy/Immunology and Pediatric Critical Care Medicine. This position provides direction, leadership and day-to-day management of both programs including support of two (2) fellowship Program Directors, two (2) Associate Program Directors, and six (6) pediatric fellows. Position provides educational coordination between attending physicians, fellows and institutional and regulatory administrative offices (i.e., Graduate Medical Education Office-GME, MCG Dean's Office, etc.). Position also performs planning and budgeting, provides oversight to selection of program participants, and monitors participant progress. Acts for and makes independent decisions in the program directors absence within prescribed limits of authority. Duties are performed under the supervision of the Allergy/Immunology and Critical Care Fellowship Program Directors, Pediatric Residency Program Director, and Sr. Administrator for the Department of Pediatrics.
Responsibilities
Responsibilities include, but are not limited to:
FELLOWSHIP PROGRAMS: Manages the development, planning, and coordination of fellowship programs within the Department of Pediatrics. Assists with day-to-day operations of fellowship programs. Serve as a liaison between and communicate with all appropriate campus offices, department program directors and staff. Attend required meetings conducted by AU GME office, pediatric fellowship program directors and department fellowship coordinators. Monitor duty hours and track leave time in appropriate system. Distribute send outs for fellow evaluations to fellows, faculty, nurses and clinical staff. Register fellows for yearly in-training exam. Assist with implementing policies related to the AU Graduate Medical Education (GME) Office and American College of Graduate Medical Education (ACGME). Develop, organize, and direct recruitment activities such as: Using knowledge of ERAS software to manage fellowship applications and compiling reports as necessary. Reviewing fellowship applications and evaluating completeness; assisting with screening applicants appropriate for interview. Notifying applicants of decisions for interview. Coordinating faculty/fellows/staff interviews and notifying applicants. Coordinating all housestaff interviews and serving as main point of contact for applicants.
COMPLIANCE: Administer and manage implementation of all rules, regulations, and prescripts regulating educational programs. Review participant requirements such as credentialing, licensure, FMG, and visa. Submit required paperwork on new fellows to GME office; set up training grants, if necessary. Fully process fellows through divisions which includes but is not limited to: scheduling division orientation, ordering keys and lab coats, providing all necessary documentation/manuals, etc. Ensure fellow compliance with established policies and procedures. Ensures program accreditation with regard to compliance of potential participants with the criteria of corresponding organizations such as American College of Graduate Medical Education (ACGME), Residency Review Committee (RRC), Graduate Medical Education (GME), and Joint Commission (HIPAA requirements). Continuously review, maintain and update documents for Fellowship Program site visits performed by ACGME. Maintain all housestaff personnel records including confidential evaluation and counseling records.
GENERAL DUTIES: Serve as administrative support for Fellowship Program Directors which includes but is not limited to: scheduling meetings, preparing agendas, recording and maintaining meeting minutes, completing travel forms for fellowship related meetings. Develop reports and provide pertinent data to Program Directors and faculty. Prepare written reports and correspondence for the Program Directors relative to fellowship programs. Develop, coordinate and plan annual educational program participant orientation, graduation, and extracurricular activities/wellness functions for fellowship programs. Maintain up-to-date knowledge of ACGME policies and procedures with understanding of common and specialty program requirements. Prepare check requests and IDRs as needed. Prepare fellowship verification forms for current fellows and alumni. Provide administrative support for fellows. Enter on-call schedule into QGenda system for each month and/or rotation. Track and summarize reports related to procedures, labs and workshops. Maintain web based ACGME accreditation surveys for programs. Initiate, oversee and monitor housestaff budget, including projections of future needs and reconcile all accounts on a monthly basis. Compile and submit reports to ACGME, American Board of Pediatrics (APB), American Academy of Pediatrics (AAP), American Association of Medical Colleges (AAMC), American Medical Association (AMA), and other professional organizations as required. Manage evaluation system to include participant evaluation and grade reporting. Monitor and counsel program participants when needed. Oversee administration of educational exams. Maintain informational database system for various reporting purposes and curriculum inventory.
ADMINISTRATIVE: Provide administrative and clerical support for programs. Answer phones, triage calls, and greet visitors to area. Provide backup administrative support for other staff members within department as needed. Order and maintain office supplies. Develop, evaluate, and implement office procedures. Maintain financial information on state and sponsored accounts and grants; reconcile PeopleSoft ledger reports on a monthly basis. Prepare forms/documents used for AU Support Services (grants/contracts, budgets and routing sheets, IDRs, check requests, etc.). Prepare other reports and forms required by department administration and submit in a timely manner. Provide backup support for Pediatric Residency Coordinator and for other fellowship programs within the Department of Pediatrics.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university and one year educational program or similar experience.
OR
Associate's degree from an accredited college or university and four years professional or administrative experience to include minimum of two years of educational program experience or similar experience.
OR
High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and seven years professional or administrative experience to include minimum of four years of educational program experience or similar experience.

Shift/Salary/Benefits
Shift: Days; Monday - Friday. There may be some special events afterhours that would require position attendance.
Pay Band: B7
Salary Minimum: $20.29 - Midpoint: $25.34
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
