Position Announcement

Utah Valley University is seeking a motivated and detail-oriented Administrative Assistant to provide vital support to the Scott M. Smith College of Engineering and Technology. This dynamic role supports the Dean, Associate Deans, and staff by managing office operations, coordinating impactful events, and facilitating projects that contribute to the college's success. Acting as a trusted resource, the Administrative Assistant ensures students, faculty, and staff receive exceptional service and support. Summary of Responsibilities


  • Performs advanced and confidential administrative support duties, including composing routine correspondences, meeting minutes, special events, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas. Maintains confidentiality at all times.
  • Coordinates dean's office financial activities including timecards, ePAFs, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc.
  • Acts as a liaison between the Dean, Associate Deans, faculty, staff and students. Maintains knowledge of and interprets college and university policies and procedures and explains them to employees, students, visitors, etc. as necessary.
  • Maintains inventory of office equipment and supplies; handles other office duties as needed which may include supervision of office support.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree and one year of experience related to the summary of duties; or an associate's degree and three years of experience related to the summary of duties; or any combination of education and/or experience totaling five years.

Knowledge / Skills / Abilities

Knowledge
  • Knowledge of office methods, techniques, practices, and procedures including bookkeeping and marketing communications.
  • Knowledge of the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, virtual meetings, and presentations.
  • Knowledge of budgets and financial reports.
  • Knowledge of event planning.
Skills
  • Skill in the preparation and interpretation of reports, charts, graphs, and tables.
  • Strong interpersonal, problem-solving, and decision-making skills.
  • Skills in the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, virtual meetings, and presentations
  • Skills in multi-tasking and complex activities.
Abilities
  • Ability to perform a variety of administrative support and confidential duties with minimum supervision as well as plan and anticipate potential changes and act accordingly.
  • Ability to follow oral and written procedures & instructions.
