About the Position:
This role is an on-campus, in-person position.
The Production Coordinator for the Office of Undergraduate Admission is a role with responsibilities to Marketing and Communications, primarily responsible for the accurate release of admission decisions for Undergraduate Admission, including First Year, International and Transfer students. The Production Coordinator is also responsible for coordinating bulk mailings as part of the marketing and communications plan for Undergraduate Admission, as well as the maintenance of student addresses and other mailing data related to mailings.
Essential Functions:

Administer the mailing of admission decisions with a high degree of organization and precision on a tight timeline; work closely with the Assistant Dean of Admission Operations to understand the decision timelines and expected mail dates; provide Quality Control to ensure accuracy of data.

Work closely with the Director of Marketing and Communications and/or Marketing and Communications Coordinator to develop a thorough understanding of the communications continuum and implement printed mailings in coordination with email campaigns.

Make regular updates to admission decision materials (letters, etc.) in order to ensure accuracy of dates, addresses and other variables.

Work closely with the Admission Technology team to develop queries and mailing lists in support of ongoing print marketing communications.

Coordinate staff to work on bulk mailing projects; monitor the quantity of materials necessary to execute mailings and submit reorders as necessary to maintain a constant inventory.

Notify Mail Central (campus mail clearinghouse) of new print initiatives/publications/campaigns; arrange processing of large quantity mailings through mail house. Process all returned Admission mail; update student records; determine necessity of material reprints based on returned mail.

Track all outgoing communications in the student information system/CRM.

Maintain inventory of admission publications in the admission office as well as in Mail Central; facilitate delivery of publications or other materials from off-site storage to Mail Central as needed; place orders from off-site storage to maintain inventory in admission office.
- Process materials requests from traveling admission counselors; facilitate the mailing of admission materials to locations across the country; maintain on-site inventory to facilitate timely request fulfillment.
- Hire, coordinate and supervise student workers in the assembly of bulk mailings, entering of prospective student interest cards, assembly of travel materials, and other duties as assigned.
Qualifications
Education and Experience:
High school diploma or equivalent is required.
A minimum of a year of experience is required. Candidate with past work experience in a University setting is preferred.
Knowledge, Skills and Abilities:
Candidate with past experience with a high-volume and cyclical mailing process is strongly preferred. Supervisory experience, particularly overseeing student workers is desired. Working experience with parcel mailing is strongly preferred. Candidate must demonstrate ability to manage multiple concurrent projects and deadlines with a high level of attention to detail. Candidate must also demonstrate to work well with others in a team environment. Strong working knowledge and proficiency with MS Office (Word, Excel and Outlook) is required. CRM experience is strongly recommended. Candidate with Mail merge experience is desired.
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
