Job Summary:
Reporting to the Director of the Recreational Sports Department, the Recreation Sports Manager (Aquatics) oversees all Aquatics programming including Masters Swim Team, Koret Youth Swim Club, Swim Lessons, Swim Clinics, USF Student Swim Club, and an In-House Certification Center, generating approximately $300,000 annual revenue for the department. This position is responsible for coordinating emergency response protocols and procedures within the RSD, and coordinating with campus partners regarding campus safety and resilience. The Recreation Sports Manager (Aquatics) supervises approximately 70 student and non-student staff including Swim Instructors, Swim Coaches, Lifeguards, Certification Center Instructors (Lifeguarding, Water Safety Instructor, AED/CPR, First Aid,), back office attendants, and works closely with colleague in Facilities to manage ongoing maintenance and repair of the pool. In addition to having a thorough knowledge of the safety standards and requirements for aquatics facilities and staff, the Recreation Sports Manager (Aquatics) will act as a liaison with the American Red Cross, American Heart Association, American Safety & Health Institute, SF Department of Health, SF Fire Department and other agencies to facilitate the maintenance of current safety standards. This is a highly collaborative position that encompasses interaction with University students, faculty, staff, alumni, as well as a heavy emphasis on building and maintaining relationships with campus partners and neighborhood constituencies. Requires a candidate with experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds; ability to flex communication style to multiple cultural environments; excellent written and verbal communication skills; attention to detail; and ability to present to diverse audiences, specifically racially, ethnically, and socioeconomically diverse communities.

Full Job Description:
Essential Duties and Responsibilities

Personnel
  • Recruit, hire, supervise, schedule, evaluate and perform payroll for student and non-student positions including lifeguards, swim instructors, swim coaches, certification center instructors (lifeguarding, water safety instructor, AED/CPR, Basic First Aid). Coordinate and supervise pool maintenance personnel, and work closely with facilities engineers to maintain uninterrupted pool operations.
  • Provide qualified, certified and experienced instructors to safely and effectively meet the needs of aquatics program participants
  • Ensure that all aquatics programs and staff maintain exceptionally high safety standards, with all certified personnel maintaining current certifications from nationally accredited certifying bodies.
  • Provide ongoing coaching and constructive feedback to staff. Evaluate staff per RSD evaluation policy procedures and time frame.
  • Perform risk management audits and ongoing emergency response training in order to ensure that all aquatics staff are prepared to respond appropriately in crisis situations
  • Oversee In-house Certification Center to run ongoing staff trainings and certifications in Lifeguarding, Water Safety Instructor, CPR/AED and Basic First Aid for all positions requiring these certifications.


Programming/Budget
  • Coordinate Aquatics programming to accommodate client needs, reach revenue targets, and meet the needs of on-campus contingencies.
  • Plan, oversee, supervise, audit, and evaluate all aquatics programs including daily, weekly, monthly offerings and seasonal auxiliary events
  • Ensure that the RSD aquatics programs are managed to the highest quality standards, while maintaining strong participation numbers, and exceptional customer satisfaction.
  • Set policy and operating standards for all aquatics programs including safety, customer service, staff accountability, programming, member services, etc.
  • Develop, manage and oversee the aquatics operating budget. Meet and exceed revenue and performance goals. Report as required on performance and variances.
  • In conjunction with the marketing department, coordinate and execute an ongoing program marketing strategy.
  • Work with the Assistant Director to develop multi-year budgets including revenue and expense projections. Develop and monitor program budget.
  • Enforce RSD policies and procedures to assure compliance with all University and State safety requirements and standards
  • Establish an inventory control system for all aquatics merchandise and gear


Facilities/Risk Management
  • Supervise the purchase, installation, maintenance, repair and replacement of all aquatic equipment and facilities including an indoor Olympic-size pool
  • Develop and coordinate emergency response protocols and procedures for the RSD.
  • Oversee compliance of mandatory in-service training for all RSD staff including Injury Prevention Plan Training, Title IX Compliance, CARES, AED/CPR, Approved Driver and Working with Minors Training. Work with Risk Management and HR to ensure background checks and Live Scan services are completed in accordance with current USF policies.
  • Serve at the on-site Certified Pool Operator for the RSD and work closely with colleagues in the Faculties Department to ensure pool operations
  • Schedule and supervise routine pool maintenance duties including daily pool chemistry and temperature readings, daily deck hosing, weekly bulkhead cleaning, and weekly pool vacuuming.
  • Act as a liaison with the American Red Cross, American Heart Association, American Safety & Health Institute, SF Department of Health, SF Fire Department, and other agencies to facilitate the maintenance of safety standards.
  • Monitor all First Aid Kits, AEDs, Biohazard Bins and Personal Protective Equipment used by RSD staff. Act as the liaison with the Facilities Department to request replacement items and/or service.
  • Oversee all pool rentals and special requests and work with Director to ensure that all USF insurance requirements are met
  • Track pool use and prepare monthly program statistics reports.


Other Responsibilities
  • Serve on committees as assigned by the Director
  • Participate in department/division activities including meetings and staff development.
  • Perform other duties as assigned by the Director
  • Evening and weekend hours required.
  • Maintain ongoing communication with the Director of Recreational Sports regarding program/facility/staff needs, challenges and successes.
  • Model behavior based on RSD working principles and customer service standards.
  • Complete all RSD paperwork requirements in a timely manner, including room requisitions, payroll materials, departmental goals and work plans, budget preparation, tracking materials, catalog copy, employment paperwork, and others as needed.
  • Be committed to the mission and goals of USF. Participate in and promote USF events and programs outside of RSD.


Qualifications
  • Bachelor's degree required. Masters degree preferred if in relevant field.
  • Minimum of 3 years of management experience in recreational sports or related field. Experience working effectively with diverse college student populations in an urban, multicultural environment.
  • Solid analytical skills and knowledge of current assessment and evaluation practices. Strong interpersonal skills to provide direction in promoting and maintaining collaborative relationships with campus and community constituencies.
  • Documented current certifications (WSI Instructor, Lifeguard Instructor, AED/CPR Instructor) or must complete within one (1) year of employment.
  • Certified Pool Operator training must be successfully completed within 6 months of employment
  • Demonstrate proficiency in the use of computers and related programs. Excellent oral and written communication skills. Specific operational knowledge and experience working with various software systems including Customer Relationship Management, Enterprise Resource Planning, Human Capital Management and Web Content Management systems. Working knowledge of Active Net, Time IPS, Concur, Banner, Workday, When to Work, EMS and Drupal are a plus.
