Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $25.77 to $27.83/hr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $25.77 to $43.58/hour.

Dynamical Neuroscience is an interdisciplinary field focused on studying how the nervous system generates perception, behavior, and cognition. It is a computational approach that goes beyond traditional structure/function correlations. Traditional disciplines that include dynamical neuroscience subject matter are particularly strong at UCSB, including the top ten-ranked Physics and Computer Science Departments. Our PhD students use tools of computational, circuit, systems, cognitive, and behavioral neuroscience to uncover the fundamental principles of brain function.

Brief Summary of Job Duties:

Responsibilities include serving as Graduate Program Coordinator/Advisor for the newly established Interdepartmental Graduate Program in Dynamical Neuroscience. Under the direction of the Student Affairs manager, with additional guidance provided by the program Chair and MSO, duties include coordination and management of interdepartmental Ph.D. program, currently seven departments and 28 faculty and future enrollments of approximately 25-30 graduate students. Coordinates graduate student recruitment and admissions, student registration, advising, employment, planning and coordinating graduate student recruitment visits and orientation, academic advising, policy interpretation, graduate degree certification, assignment and hiring of graduate students (GSR's), maintaining graduate student records, on-going assessment of graduate student progress, course scheduling, student data management (program database and GRADNET) and maintaining all student files and records. Assists chair and MSO in formulation of policy for new program. Provides coordination between the current seven departments and 13 faculty on all issues related to program and potential and enrolled graduate students.
Knowledge of University-specific computer application programs and pertinent databases used in the course of completing position's duties.

Job Functions and Percentages of Time:
  • 60% Graduate Program Coordination & Administration - Responsible for the coordination and management of the Interdepartmental Graduate Program in Dynamical Neuroscience, currently seven departments and 28 faculty and approximately 25-30 graduate students in the next 5-6 years. Provides direction and interpretation of policy to assist program Chair and faculty with formulating policy, program requirements, and curriculum changes in newly established graduate program. Assists with the coordination and review of academic progress of students on quarterly basis, first and second year evaluations, general and specialty exams, and notification memos to all continuing students. Disseminates, interprets and advises students and faculty on rules and regulations of the University, Graduate Division and program. Maintains academic files for all students enrolled in program. Provides graduate students with assistance and alternatives to various problems (academic, financial and personal). Coordinates graduation checks and commencement matters. Coordinates nomination process for intramural awards and fellowships. Coordinates assignment of graduate student office space and mailboxes between departments. Manages academic files for all students, new and continuing. Maintains program library of general and specialty exam questions, fellowship and job opportunities, and Ph.D. dissertations. Coordinates third year General Exam process and ensures exams are completed, distributed and returned by established deadline. Acts as liaison to a variety of campus departments regarding graduate student affairs including advising and employment. Enters data into program database, produces reports to track admissions and other necessary information as required. As required, gathers statistical data, prepares reports and responds to surveys. Enters data into GRADNET; downloads data as needed for various interdepartmental reports and analysis. Assists with the preparation of various documents and reports for faculty advisors, Program chair and MSO as required including offer letters to prospective students.


  • 20% Graduate Student Recruitment & Admissions - Provides advising, recommendations to program Chair/faculty and Affirmative Action Committees on all areas of graduate student recruitment and admissions. Disseminates, interprets, and advises graduate students and faculty on the rules and regulations of the UC, Graduate Division and program. Assists with the coordination of graduate student recruitment and admissions process, applicant visits, admission, award letters and student registration. Coordinates and plans prospective graduate student visits and newly admitted graduate student orientation including activities, materials, catering, travel and lodging; oversee budgets and tracks expenses. Assists with providing assessment (rankings, evaluations, etc.) of eligibility for intramural awards and fellowships.


  • 20% Graduate Student Employment - Coordinates graduate student employment for interdepartmental program which currently includes Psychological & Brain Sciences, Physics, MCDB, Statistics, Computer Science, Mechanical Engineering, and Electrical & Computer Engineering. Provides advice and recommendation regarding employment; assists program Chair/faculty with the assignment of graduate student employment for the academic year. Coordinates employment process for all graduate students (primarily GSR's, but TA's and Associates if required) using campus payroll systems (UCPath). Completes all hiring and payroll paperwork and documentation and maintains employment files. Processes all fee offsets, fee and student health credits and fee deferrals. Provides statistics related to graduate student enrollment, employment, block grant, and other data as necessary. Reviews payroll expenses (including GSFR and UC SHIP) for all funding sources, ensures that employment and benefits are correctly charged; makes necessary corrections for incorrectly charged payroll and/or benefits.
