Job Summary:
The Department of Otolaryngology - Head & Neck Surgery is seeking a Residency Program Coordinator (Coordinator) will be responsible for the day-to-day administration of the Otolaryngology Residency Program. Under the immediate direction of the Residency Program Director (PD), the Coordinator will assist the PD and Associate Program Directors (APD) in ensuring that the residency program is in full compliance with CUGME Office policies and procedures, ACGME program requirements and regulations, assist the Program Directors in developing and maintaining the educational quality of the training programs, and function as a liaison between the Program Directors, fellows, faculty, CUGME office, participating training sites, and other departments.

Key Responsibilities:
Residency (80%)
- Manages all day to day operations for the residency program including onboarding/offboarding activities, overseeing rotation/lecture/call schedules, supporting conference activities and monitoring attendance, providing logistical support and minutes for the CCC (clinical competency committee) and PEC (program evaluation committee) meetings, and other duties as assigned.
- Manage annual Residency recruitment activities, including reviewing applications, scheduling and coordinating interviews, maintaining interview feedback data, preparing information for ranking meetings, and monitoring onboarding activities
- Coordinates all required electronic recordkeeping, including but not limited to the ERAS application portal; the NRMP match list portal; the MedHub rotation schedule, evaluations, personnel files, and contracts; the department education calendar; and the ACGME ADS, Milestones, and Case Logs portals.
- Supports compliance to ACGME program requirements, GME policies and procedures and related departmental policies
- Coordinates accreditation activities - ACGME Site Visits, Special Reviews, Annual Program Evaluations, etc.
- Prepares reports for the Department to satisfy needs, such as ACGME studies, program reviews, retreats, audits or others, as requested
- Develops and maintains spreadsheets, presentations, and external webpages for the Residency as required
- With oversight from the PD and DFA, manages all funds related to the Residency, whether those funds originate from hospital support of residents and the training program, GME support, departmental support, grants and contracts, gift funds or other sources.
- Assist with the preparation of the annual graduation event
Medical Students (10%)
- Partners with Medical Student Liaison Directors to administer the department medical student program
- Manages program operational activities and ensures that program goals and objectives are accomplished.
- Manages all administrative aspects of the Department's Medical Student Education Program to include clinical and research rotations of CU students and externs, student interest groups, career fairs, and follow-up meetings with program directors for mentoring assignments and research opportunities.
- Manages all aspects of the Mentored Scholarly Activity (MSA) program for the Department.
Other duties (10%)
- Process reimbursements for trainee travel, educational and professional development expenditures as per University and Department policy
- Create and maintain personnel files
- Provide backup support to the Fellowship Coordinator and/or the Special Projects &CME Coordinator as needed
- Other duties as assigned
Work Location:
Hybrid - this role is eligible for a hybrid schedule of up to 2 days per week on campus and as needed for in-person meetings.

Qualifications:
Minimum Qualifications:
- A bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.
- Three (3) years of experience managing day-to-day operations of a residency, fellowship or medical student program.
A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Applicants must meet minimum qualifications at the time of hire.
Preferred Qualifications:
- Experience working with residents, faculty and staff within a higher education setting.
- Experience managing grant funds and internal budgets.
- Experience utilizing MedHub and New Innovations to monitor resident/student evaluations.
- Experience organizing and managing student recruitment processes which include managing schedules, reserving rooms, organizing travel, etc.
Knowledge, Skills and Abilities:
- Organizational skills with ability to plan and organize Residency needs and activities, establish work priorities and provide follow through to ensure completion of activities, both individually and assisting others with work tasks.
- Knowledge of, or ability to, become fully competent in computer programs essential to the Residency, including the Microsoft Suite (Word, Excel, Access, PowerPoint, Outlook), the Electronic Residency Application System (ERAS), OnCall (amion) scheduling tools, New Innovations and MedHub. Software used will continue to change, so adaptability to new electronic programs and tools is essential.
- Ability to develop and manage budgets, and carry out fiscal responsibilities of the position.
- Ability to understand and apply regulatory requirements at the program level.
- Ability to communicate effectively with administrative personnel, physicians and other program personnel, trainees/prospective trainees, staff and other constituents, in written communications and oral presentations. Interpersonal skills working with residents and others in an environment of high volume and stress.
- Ability to oversee training and development of departmental administrative staff.Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

The starting salary range (or hiring range) for this position has been established as HIRING RANGE
$60,905 - $77,471
The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
