Position Summary
Reporting to the Associate Director of Counseling and Psychological Services (CPS), the Office Manager oversees the delivery of all front desk and clerical operations at CPS Lincoln Center office.
These include scheduling appointments, coordinating walk-ins, checking in clients, responding to phone/email communications, maintaining personnel records, ordering office supplies, updating department website, and supervising student workers and graduate assistants.
Additionally, the Office Manager assists the CPS Director with onboarding new staff, preparing reports, and collecting clinical utilization and assessment data.

Minimum Starting Salary: $45,000
Maximum Starting Salary: $50,000

Essential Functions
- Delivers and oversees essential client-facing duties, including scheduling appointments, managing/triaging walk-ins, responding to phone/email communications, and greeting and checking in clients.
- Trains and supervises front desk student workers and graduate assistants.
- Assists in the development and implementation of front desk operational protocols.
- Assists the Director with preparing quarterly, annual, budget and assessment reports. Monitors and manages year-to-date and projected operational expenses.
- Prepares, collects, and summarizes clinical utilization and assessment data.
- Assists with onboarding new staff and trainees to ensure compliance with departmental and institutional policies.
- Reviews and updates CPS' website; serves as primary liaison for CPS' EMR vendor, Titanium.
- Prepares, reviews, and processes clinical and personnel-related forms, records, and documentation.
- Interfaces with Human Resources to ensure compliance with various personnel policies and guidelines, including conducting background screens, monitoring employee paid time off, etc.).
- Monitors and orders office and outreach-related supplies, materials, and equipment.
- Interfaces with other University constituencies as needed.

- B.A., B.S. or higher degree in a related field.
- Minimum of 2 years of experience in higher education or related field.

- Excellent interpersonal and communication skills.
- Computer literacy with a high proficiency in MS Office (Word, Excel, PowerPoint).
- Excellent time management and organizational skills.
- Ability to work collaboratively with a diverse university community of students, faculty, administrators and families.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
