Job Summary:
The Program Coordinator for Strategic Initiatives is responsible for organizing, streamlining, and overseeing projects for key Provost's Office initiatives to help recruit and retain students and prepare them for professional success. Working closely with faculty, students, and institutional partners, the Program Coordinator will also ensure initiative efforts enhance students' immersive learning opportunities and foster community building and engagement through various career development opportunities, including internships, faculty and alumni mentorships, research assistantships, and on-campus events. The Program Coordinator will work with campus departments to facilitate external partnership development, nurture student support services, track data and report on program performance, and expand professionally relevant co-curricular experiences. This role will also generate new avenues for transfer programming, engagement, and community building to support students who participate in these initiatives.
Under the general supervision of the Provost or their delegate, the Program Coordinator is responsible for day-to-day administration and program development and growth, event planning and execution, program promotion, and specific student recruitment, engagement, and onboarding initiatives as assigned. Working with faculty and Career Services, this role coordinates the development and scaling of external partnerships and field-specific internships and research assistantships. The Program Coordinator will work directly with the appropriate staff and on-campus partners to ensure that all components of the strategic goals of the initiatives, as directed by the Provost and administrative advisory council, are being met.
Full Job Description:
Event Planning
- Program Events: Plan, organize, and execute program events, including conferences, workshops, and networking sessions. Ensure successful execution and alignment with program objectives.
- Program Development: In coordination with partners like Career Services, CASA, Student Life, and Admissions, develop new event programming opportunities for student engagement. Partner with existing programming sources (e.g., Honors College, Silk Speaker Series) to identify opportunities for career-relevant student experiences.
Recruitment and Promotion
- Application Process: Work with the admissions office to review and streamline the application process for Provost Office initiatives (Mellon, Horizon, etc), ensuring that students have access to needed resources and information.
- Program Recruitment: In partnership with SEM, provide support for recruitment and promotion efforts, including campus visits and presentations to prospective students. Maintain and build relationships with new recruitment channels.
- Website and Informational Material: In partnership with OMC and SEM, guide the development and maintenance of program initiative websites and create informational materials for students, faculty, and counselors.
- Marketing and Outreach: Together with institutional partners, develop marketing and outreach strategies to promote the program initiatives to potential students.
- Transfer Articulation: Work closely with the Registrar's Office and the deans, faculty, and staff of the three undergraduate schools to update articulations agreements with top feeder schools. Coordinate with SEM to ensure transfer pre-advising is effective, efficient, and responsive to student needs.
Student Engagement and Retention
- Student Onboarding: Ensure that students entering program initiatives transition smoothly, facilitating resources with all necessary institutional pathways, including admissions, advising, mentorship, and more.
- Student Engagement: Create, facilitate, and coordinate new engagement and retention event opportunities for students, including cohort-building, fostering mentorship by facilitating collaborative opportunities between students, developing faculty and community partners, and collaborating with community organizations and campus partners to create enriching and inclusive engagement opportunities that foster belonging and connection among students.
- Student Retention: Track and respond to the impact of engagement opportunities on student satisfaction and program participation. As part of assessing efficacy, implement retention metrics and feedback loops to measure effectiveness and evaluate the success of engagement and retention strategies to make data-driven adjustments that meet evolving student needs.
- Community Building: Convene monthly meetings to support the students' sense of community; actively assess and respond to student needs and preferences to foster a sense of belonging. Create an overall climate of support for students to feel valued and connected.
- Transfer Support: Improve transfer student support (by improving the application process, onboarding, academic and career support, sense of belonging, and peer engagement) and track transfer student success goals.
Internships and Professional Advancement
- Internship Placement: Coordinate opportunities for students to work in their preferred fields, as well as generate new opportunities by developing partnerships with campus partners. Liaison with Career Services and faculty to facilitate mentorship and career coaching resources.
- Professional Advancement: Working with faculty and Career Services, support new partnerships and career pathways based on student needs and industry trends to ensure students gain relevant skills and networking opportunities for their professional advancement; assist with identifying gaps in existing opportunities; and assist in developing external partnerships with industry leaders with the goal of establishing a "Board of Stakeholders" database.
- Faculty Connections and Supervision: Establish and maintain connections with faculty supervisors and internship hosts to facilitate meaningful internship opportunities for students.
- Goal Tracking and Approval: Track and monitor student goals and progress throughout their internships. Approve and verify student hours and achievements.
- Staff and Faculty: Provide training or support to advisors, faculty, and staff involved in the transfer process to ensure consistency in advising and support services.
- Program Development: Keep up to date with national and regional transfer trends, policies, and best practices to continuously improve programs and transfer engagement and retention.
Budget and Reporting
- Budget Management: Track program budgets and ensure grant compliance (if applicable).
- Grant Reporting: Draft and manage grant reports, including updates, goals, and grant modification requests. Write and submit annual grant reports, detailing program progress, outcomes, and financial compliance as part of larger strategic initiatives.
- Secure Funding: Identify and apply for grants or other funding sources to support the development and expansion of transfer programs or other key initiatives. Coordinate with the Development office to share initiatives with existing and new donors.
- Gather Student and Partner Feedback: Collect feedback from students and partner institutions to assess the success of program initiatives, and identify areas for improvement.
- Data-Driven Decision-Making: Track and analyze data on student engagement, retention, time to degree, and outcomes, informing program adjustments and ensuring continuous improvement.
- Adjust Program Elements: Use feedback and data to make adjustments to admission pathways, advising processes, and program offerings.
- Education: Bachelor's degree required. Master's degree preferred.
