Job Summary:
The Welcome Center Manager is responsible for providing leadership and direction for the University of San Francisco's Welcome Center. As the central hub for all campus visitors, the Welcome Center sees nearly 50,000 campus visitors annually. The Welcome Center Manager is tasked with managing the day-to-day operations of the Welcome Center and the visitor experience for the Office of Undergraduate Admission. In partnership with the Associate Director, the Welcome Center Manager is also responsible for execution of campus visit enhancement initiatives. The position will require the ability to work in a fast-paced environment where organization, attention to detail, and resourceful problem solving are essential skills for the ideal candidate to possess.

The Welcome Center Manager will be responsible for the hiring, training, scheduling, and management of the 30-40 University Ambassadors and Welcome Center Interns, who are responsible for providing high-level customer service and tours to prospective families. The Welcome Center Manager will oversee the USF Group Visit Program, which traditionally involves the corresponding logistics of 300+ requests and scheduling staff to support 150+ social groups that visit each year. This position will partner closely with University departments such as, but not limited to, Events Management, Facilities, Public Safety & Parking, Student Employment, Bon Appetit, and various academic departments. This position will also work with outside vendors to provide appropriate services at the Welcome Center. Finally, as needed, the Welcome Center Manager will represent the University by giving informational sessions to prospective students and families visiting campus.

Full Job Description:

Responsibilities
  • Cultivates a warm and welcoming environment and interfaces with prospective students and their families in the Welcome Center. (Time commitment: 5%.)
  • Manages the recruitment, selection, training, scheduling, payroll, performance reviews, supervision, and retention of 30- 40 University Ambassadors and Interns who reflect the diversity of the University. (Time commitment: 30%.)
  • Manages the day-to-day campus visit experience for prospective students, families, and special groups. Updates tour routes and script as needed for special campus tours or new strategies. (Time commitment: 25%.)
  • Uses independent judgement to implement all admissions strategies in the Welcome Center. This includes developing welcome center print materials in partnership with the Electronic Communications and the Office of Marketing and Communication teams, updating any and all communications regarding the campus visit experience, and the independent judgement to prioritize group visits from specific high schools and community colleges. (Time commitment: 5%.)
  • Plans and facilitates monthly Ambassadors' meetings, events, and check-ins. (Time commitment: 5%.)
  • Responsible for the scheduling and coordination of Ambassadors for all daily visits, ambassador appointments, on campus events and virtual recruitment programs. (Time commitment: 5%.)
  • Ensures that the Welcome Center's physical space is well-kept and maintained. (Time commitment: 5%.)
  • Attends and represents the university at all in-person admission events, and on an as-needed basis, may be required to fill in for admission counselors at high school visits, community college visits and other recruitment events. (Time commitment: 10%.)
  • Provides administrative support for the office of undergraduate admission (ie, coordinating with the Hilltop Shop, central receiving, etc.). (Time commitment: 3%.)
  • Acts as the Building Marshall for SEM team and must be aware of all Emergency Procedures and Protocols for evacuations, lockdown, or any other required emergency response. (Time commitment: 2%.)
  • Performs other duties as assigned. (Time commitment: 5%.)


Minimum Requirements
  • B.A./B.S. Required
  • 1 to 3 years of experience working in higher education and/or student services
  • Excellent organizational skills with ability to effectively prioritize and work on multiple tasks with concurrent deadlines and demonstrate excellent time management skills and efficiency
  • Proven ability to react to customers quickly, thoughtfully, and courteously
  • Desire to work with and serve diverse communities and promote equity and inclusion
  • Strong public speaking skills and a commitment to inclusivity
  • Excellent written and oral communication skills are required
  • Flexibility to work some weekends and evenings as needed to cover special events and manage operational needs
  • Budget experience preferred
  • Commitment to working in a team environment
  • Must be in-office at the USF Hilltop Campus 5 days/week as this is a full-time on-campus position.
