Job Summary:

The Center for Combat Medicine and Battlefield Research (COMBAT) within the Department of Emergency Medicine is seeking a full-time Business and Operations Specialist, to provide day-to-day professional and operational support. The primary functions will include supporting COMBAT leadership through developing and executing special projects, data analysis and tracking, project management, and records management. In addition to special projects, this position will contribute to daily operations and business tasks for The COMBAT Center and requires significant organization, focus, and attention to detail. The position will conduct activities such as meeting coordination, program and committee support, and support with on-site meetings and events. This position will frequently use cloud-based tools such as Smartsheet, Microsoft Teams, OneNote, Zoom, and DocuSign. Specific priorities and duties of this position may change as the operational structure and administrative needs of COMBAT evolve.

The successful candidate for this position possesses project management skills and problem-solving skills and works well in a fast-paced environment. They should be detail-oriented with the ability to multitask and employ a proactive approach to supporting COMBAT operations. The position must possess the ability to successfully manage competing and changing priorities to support the growth of COMBAT. Knowledge and experience in business administration with an emphasis on relationship development, process implementation, and process improvement is highly desirable.

Key Responsibilities:

Project Specialist (50%)
  • Creates project schedules with guidance from Operations Manager and Associate Director, follows progress of individual projects and ensures deadlines are met
  • Develops reports for project progress tracking
  • Manages records related to individual projects

Operational Support (50%)
  • Assists with data analysis and tracking for COMBAT operations
  • Maintains records related to COMBAT operations
  • Assists with developing and improving administrative and operational processes
  • Assists with coordinating and conducting VIP and executive leader visits, as needed
  • Supports scheduling and calendar management for COMBAT leadership, as needed

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • A bachelor's degree in business, business administration, finance, accounting, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • 1 year of professional level experience.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Bachelor's degree in business, business administration, finance, accounting, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • 2-3 years of professional experience directly related to the duties of this position.
  • Professional experience in a higher education or healthcare setting.
  • Experience managing projects, adhering to project timelines, and reporting process.
  • Experience providing administrative and technical assistance to stakeholders and customers.

Knowledge, Skills and Abilities:
  • Ability to communicate effectively, both in writing and orally
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution
  • Advanced skills in Microsoft Office Suite, technically adept, software savvy
  • Knowledge of project management software
  • Ability to develop schedules and track competing deadlines for multiple projects simultaneously
  • Ability to work independently and prioritize tasks with appropriate guidance
  • Ability to multitask as appropriate
  • Flexibility and ability to adapt to changing, fast-paced environments
  • Excellent time management and organizational skills
  • Ability to take direction and use independent judgement to complete assigned tasks
  • Ability to take initiative and problem-solve with appropriate guidance

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as HIRING RANGE $54,383 - $69,175

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
